Administration and Safety Officer

Job Purpose

To establish the proper functioning of the Administration Department at CFS and ensure a safe, compliant, and risk-free working environment by implementing administration controls, safety systems, inspections, audits, and continuous improvement initiatives.

Key Responsibilities

Administration

  • Deploy security guards and monitor their duties to ensure effective security coverage across warehouses and premises.
  • Secure company premises by patrolling property and monitoring access points.
  • Monitor CCTV surveillance systems and inspect buildings, equipment, and security infrastructure.
  • Manage visitor entry through gate-pass procedures and report any irregularities or policy violations.
  • Arrange and impart training for security personnel and other manpower.
  • Monitor attendance of security guards, contract labour, staff, and other manpower through biometric systems and attendance records.
  • Manage company assets such as computers, printers, stationery, and housekeeping materials.
  • Monitor fuel consumption (diesel, petrol, etc.) and maintain resource utilization reports.
  • Prepare reports on observations, incidents, and surveillance activities in consultation with the Head HR.
  • Ensure proper hygiene and housekeeping standards across working areas, warehouses, and premises.
  • Ensure AMC vendors provide services on time and contracts are renewed as required.
  • Coordinate ongoing and new projects by arranging necessary resources and monitoring progress.
  • Perform any other duties assigned by management from time to time.

Safety

  • Ensure overall safety compliance across CFS warehouses and operational areas.
  • Conduct daily toolbox talks (TBT) and safety briefings.
  • Deliver safety training as per central guidelines and customer requirements.
  • Perform regular safety inspections and audits of warehouse operations and equipment.
  • Conduct mock drills and emergency preparedness activities, including fire and evacuation drills.
  • Participate in customer safety meetings and audits.
  • Drive internal and national safety campaigns.
  • Ensure implementation of central safety guidelines at site level.
  • Monitor statutory and legal safety requirements and report gaps to stakeholders.
  • Ensure compliance with HAZMAT storage and handling requirements.
  • Investigate incidents and near-misses and prepare detailed reports.
  • Maintain and submit weekly and monthly MIS reports.
  • Support annual safety audits and compliance reviews.

Qualification

Graduate / B.Sc. / Diploma / BTech with Advance Diploma in Industrial Safety

Experience

2 to 5 years of relevant experience in Logistics / Supply Chain / Warehouse Safety Administration
